Administrative Assistant

The Administrative Assistant position is a strong support to the Executive Assistant at the Corporate Headquarters in Princeton, NJ.  This role will provide a variety of administrative and office support activities for the Executive Assistant and the Executive Team to facilitate efficient operation of the Organization.


 This role will perform the following duties:

  • Answer, screen and transfer phone calls for Executive Team
  • Handle a high level of confidential documents and situations
  • Take minutes at various meetings as required
  • General clerical duties and updating of daily/weekly reports
  • Ability to resolve administrative problems and/or inquiries
  • Prepare and modify documents including correspondence, reports, presentations and emails
  • Schedule and coordinate meetings, appointments and travel arrangements as needed
  • Manage the distribution of correspondence on a daily basis
  • Perform other duties as assigned


  • High School diploma or GED required
  • Some college preferred
  • A minimum of three to five (3-5) years Administrative Assistant (preferred) or related business experience required
  • Knowledge of Intermodal industry is a plus
  • Must think creatively and act proactively
  • Must possess excellent communication and interpersonal skills
  • Advanced Word, Excel and PowerPoint skills required
  • Ability to work well independently, as well as contribute to the overall success of the team
  • Must work well in a dynamic, fast-paced environment and be able to recommend and implement process improvements
  • Must be flexibility adaptable to change
  • Must be able to competently handle multiple tasks simultaneously with a high degree of accuracy and completeness, while meeting deadlines
  • Handle high level of travel and expenses
